We collect information in two ways: information provided directly and information generated through use of the Service.
Account & Identity Data
When an administrator provisions an account on your behalf, we may collect your email address and, if provided, your display name. This is used to authenticate you and attribute actions within the system to the correct user.
Dispatch & Operational Data
When you use the Service to create or manage records, we collect and store information submitted through the platform, which may include:
- Dispatch dates and times;
- Project numbers, names, and site addresses;
- Technician names assigned to dispatch entries;
- Task types and descriptions;
- Daily report (DR) numbers;
- Sample types and sample custody status information;
- Sample location, pickup dates, and runner assignments;
- Notes associated with dispatch or custody records; and
- The identity of the user who created or last modified a record.
Usage & Session Data
We may automatically collect limited technical information when you access the Service, such as browser type, device type, IP address, and session timestamps. This data is used for security, diagnostics, and service reliability.
Communications Data
If you contact us by email or other support channels, we may retain that correspondence to respond to your inquiry and improve support operations.
How We Use Your Data

- Netlify — website hosting and delivery; and

Business Transfers

Your data may be stored in cloud infrastructure used to operate DispatchDom. Data transmitted between your browser and the Service is intended to be protected using encrypted HTTPS/TLS connections.
We use reasonable administrative, technical, and organizational safeguards designed to reduce the risk of unauthorized access, alteration, disclosure, or destruction. These safeguards may include:
- Authentication required for application data access;
- Database security controls, including row-level security where configured;
- Session-based access control with expiration settings;
- Invite-only account provisioning; and
- Encrypted credential handling through authentication providers.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Data may be retained for as long as needed to operate the Service, comply with legal obligations, resolve disputes, maintain records, or support legitimate business and operational purposes.
Data Control & Deletion Requests
Because DispatchDom is an internal business platform, data access and management is often administered by your organization's designated administrator. In many cases, requests about your account or records should first be directed to your administrator.
Depending on applicable law, you may have rights to request access to, correction of, or deletion of certain personal information, subject to valid retention, legal, audit, and operational needs.

Operational records associated with an organization's account may be retained even after an individual user's access is removed.
Cookies & Sessions
DispatchDom may use browser storage or session technologies needed to maintain authenticated access after login. This helps keep users signed in across page loads or browser sessions according to configured session behavior.
We do not use third-party advertising cookies or cross-site behavioral advertising trackers for the Service.
Authenticated session handling may be managed through third-party authentication infrastructure. Users can end a session at any time by logging out.
Public-facing pages such as the homepage, Terms, or Privacy Policy are not intended to use advertising tracking cookies.
Children's Privacy
DispatchDom is intended for business use by adults and is not directed to children. We do not knowingly collect personal information from children under 18. If you believe information from a minor has been submitted to the Service, contact us at support@dispatchdom.com.
